What to put on your invoice, by trade.

  • What goes on every invoice — the basics

    Whether you bill for trim work or trade-show booths, a clean invoice has the same bones. Get these right and your invoices read fast on a phone screen.

    • Your business name, contact, and (where required) license or sales-tax number.
    • A unique invoice number, the issue date, and the due date — never just 'Net 14' alone.
    • A clear bill-to block with the customer's name and the address the work happened at.
    • Line items with quantity, unit price, and amount — totals tabular-aligned so they scan.
    • Subtotal → discount → tax → total, in that order. Don't bury tax inside the unit price.
    • Payment terms in one line and a way to pay (link, check address, or ACH details).

    • License number, contractor's bond, and (in some states) a master plumber number — header or footer.
    • Service-call fee on its own line, even if you waive it after the repair.

    • Parts itemized by spec (1" copper, ½" PEX, wax ring) — not 'misc materials.'
    • Diagnosis time vs repair time, when they're billed at different rates.
    • Warranty length on parts and labor — usually 30 days for a service call, longer on a re-pipe.

  • What to put on an electrician invoice

    Inspections, permits, and code references make electricians different. Customers don't argue when those details are visible.

    • State electrical license number and contractor bond — both are searchable; show them.
    • Permit number tied to the work, plus the inspection date when scheduled.
    • Panel work, circuits, and devices on separate lines — main breaker upgrade ≠ a kitchen circuit.
    • GFCI / AFCI / tamper-resistant outlets called out by code (NEC reference is overkill, but flag the type).
    • Materials with brand and amperage where it matters (Square D 200A, Eaton 20A, Lutron Caséta).
    • Labor in 0.25-hr increments at your posted rate; round up only the final total.

  • What to put on an HVAC invoice

    • Equipment make / model / serial number for every unit serviced.
    • Refrigerant type and amount charged (R-410A, R-32, etc.) — required by EPA Section 608.
    • Pressure readings (suction / liquid) when relevant — that's a record for warranty claims.
    • PM checklist box if you ran a maintenance — fields like 'capacitors tested', 'coil cleaned.'
    • Manufacturer warranty status: registered, valid until, or out-of-warranty parts.
    • Trip / diagnostic fee separated from repair labor so customers know what they're paying for.

  • What to put on a landscaping invoice

    Recurring services confuse customers when they're billed as one big number. Itemize the visit dates and you'll get fewer 'wait, what is this for?' replies.

    • Property address — different from the billing address for many customers.
    • Service dates this billing period (4 visits this month, listed by date).
    • Crew hours separated from materials (mulch by cubic yard, sod by square foot).

  • What to put on a cleaning service invoice

    Most disputes on cleaning bills are about scope. Spell out exactly what got cleaned and a polite customer becomes a recurring one.

    • Property type (3 bed / 2 bath, 2,400 sq ft) — anchors the price for the next visit.
    • Recurring or one-time clearly labeled — recurring rates differ from move-out rates.
    • Per-room or hourly rate, plus the total hours worked.
    • Add-ons priced separately: inside oven, inside fridge, windows, garage, post-construction.
    • Supplies provided by the cleaner vs by the customer (if that matters in your area).
    • Bonded / insured note in the footer — homeowners look for it before paying first-time.

  • What to put on a roofing invoice

    Roofs are 20-year purchases and customers research every line. Show your work — they'll pay without negotiation.

    • Roof area in squares (1 sq = 100 sq ft) — that's the trade unit, not square feet.
    • Tear-off, dump fee, and disposal as a separate phase from install.
    • Underlayment, ice & water shield, drip edge, ridge vent — line by line, not 'accessories.'
    • Shingle brand, line, color, and warranty length (30-yr architectural, lifetime laminate).
    • Flashing replaced (step, counter, chimney, valley) — old flashing is where leaks come back.
    • Workmanship warranty separate from manufacturer warranty — usually 5–10 years on labor.

    • Surface area per room (linear feet of trim, square feet of wall).

    GC invoices are draws, not bills. Tie every payment to the contract's schedule of values and you stay out of disputes when the project goes sideways.

    • Draw number tied to the contract (Draw 2 of 4 — framing complete).
    • Schedule of values reference per AIA G702/G703 (or the equivalent your state uses).
    • Subcontractor breakouts when relevant (mechanical rough-in: ABC HVAC).
    • Permit fees as 'advanced on owner's behalf,' not labor — different tax treatment.
    • Stored materials clause if you bill for materials on-site but not yet installed.
